[Mail_emis] Update 11/9/15

Good evening,
The following was discussed during the EMIS call yesterday and the Change call today.


*         New Manifests

o   DORP Assessment

o   FY15 Fall 3rd Grade has been updated to end on December 11th.

o   FY15 Fall End of Course

o   FY15 Spring 3rd grade reading has been updated to end December 11th

o   FY15 Spring Alternate Assessment

o   FY15 Spring End of Course

o   FY15 Spring OGT

o   FY15 Spring State Assessments 3-8

o   FY15 Summer and Fall OGT


o   FY16 3rd Grade Summer Reading


*         There will be 3 others that will come out this week


o   OTELA

o   Fall Early Learning Assessments

o   Non State Accountability Assessments


*         2 will be left that are not open but are scheduled to be open next Monday

o   CTE assessments

o   Spring Early Learning Assessments


*         December 11th is now the close date on the Assessment manifests and the S manifests for FY15.  ODE does not expect that date to be extended.  There would have to be major issues to extend that date.


*         There are  few assessment manifests  that will go beyond December 11th  as they do not have a huge  impact on the LRC

o   OTELA - December 18th

o   Fall Early Learning Assessments -December 18th

o   Spring Early Learning Assessment- Most likely Early January

o   CTE assessments - January 15th.


*         Missing reports will be turned on for the Assessment manifests this week.  ODE will be using the Vendor testing file to determine missing tests.  The lists will work the same as the missing student reports in the S manifest.


*         Final Staff Collection

o   Open today (Monday) or Tuesday.  Will have new CTE weighted funding reports.  Report does not sum easily.  Later this week there will be additional reports that will sum more easily.  It will close on December 11th  also.


*         CTE

o   Work is starting on the Perform report for the 2016D reporting- out in a couple weeks.

o   CTE appeal window is open for March Follow-up Data.  Emails were sent to districts that report D.


*         Student collections reports

o   WKC- Not divided out by Assessments.  One report for the district.

?  The start dates on the reports are the start dates of the FS and FD records that ODE is using for the report

?  WKC calculations have not changed.  I have attached the most recent report explanation to this email.

?  Goal is to update the report daily.  If you make a change it should show within a few days.

o   Enhancing the FTE reports

o   Report for just the FTE adjustments

o   Gifted Data Verification Report- 2-3 weeks out.

o

*         Finance related reports

o   Projected final FTE report will be out in the next few days. Data was pulled at the end of October for this reports.   Data will be pulled later in November for the Final # 2.  If there are changes that need to be made you have till December 11th to make the adjustments.  There will be one more final payment after the final #2 payment.



*         Appeals

o   Appeals will be opening soon for the K-3 data.  There will be an appeals window for the K-3 data from fy14 that was on the last LRC and appeals for the K-3 for the FY15 Report card concerning Retentions since the retention manifest is closed.  All other K-3 data is still open for the 14-15 data and can still be adjusted in the Final manifest.

o   FY14 Graduates and testing records regarding Prep for Success data.



*         Detailed reporting calendar

o   ODE is working on a detailed calendar for reporting.  It will contain the reporting timelines, appeals time lines, and payments schedules

EMIS Change Call


*         Accelerated Students

o   ODE is looking to see if there is a clearer way to report these students.  May not be a change may be just ODE using data they already have

o   Update to the HQT - Add OAE as part of the #1NTE/PraxisII/OAE- State Licensing Exam.

o   Add a new Admission Reason for the SSID site of D Student 22 years or over-WILL NOT be used for EMIS reporting.

o   Revision to the % of time reporting instructions based on a change in Revised code 3317-034 in Substitute  HB #2

?  Wording was changed from full time student SHALL have 5 credits to MAY have 5 credits.  This will be effective in January when the bill is signed.  More to come on this.  Should not affect a lot of students.


*         Preschool ELA changes for 15-16
