[Mail_emis] Update part 2

Reminder- Appeals/Data Review and Verification for the FY16 Local Report Card  window closes on August 10th   .  If you have an appeal that was approved you will have until 8/17 to submit data.  ODE has not set at time for the last submission for that day yet.   If you file an appeal, go ahead and update your student software with the correct data so that when the window opens you can submit right away.

*        Be on the lookout for your appeals Manifests if you submitted an Appeal.  We have 1 district that I know of that was able to submit today!

*         FY15 and FY16 refresh of CTE data should come out this week.

*         CCP

o   Close to updating data so that the 45 day window will open.  Colleges were paid but only for students that have been approved.  45 day will stretch into September so Counselors will be able to see data from last year to help out.

o   ODE is receiving summer information from Colleges.  You will NOT be reporting summer courses to EMIS.  You will enter those courses in course history in the 16-17 school year.  When they are loaded into ODDEX no district data will be added in ODDEX to match up.

o   ODE should have fall FY17 college data by the end of September so you will probably start reviewing them then.  The hope is that all data will be validated prior to the January payment to the Colleges.

*         ODE EMIS Webinar Trainings.

o   Below is the list of EMIS ODE Webinar trainings for the month of August.  Let me know if you would like to have a group here to listen to the call or if you want to do these on your own since there is so much going on with the beginning of school

*         Retention Manifest.

o   The retention manifest will close August 31.  You will transfer data out of the 16/17 school year to report your retained students.  This will be the ONLY opportunity for you to report your retentions.  ODE does not look at that field throughout the school year.

o   Things to remember

?  You cannot show a retained status for a student that was not enrolled with you the previous year.

?  KG students that are retained- Make sure retentions are added for these students.  This is the only way that ODE knows not to expect a KRA test from these students.

?  For your 3rd grade students that were exempt from the Reading Diagnostics and were promoted to the next school you will need to report a retention reason of G.

?  For your 3rd grade students that were exempt from the consequences of the TGRG due to their IEP and were promoted to the 4th grade, you will need to report a retention reason of E

?  For your 3rd grade students that were not retained due to their ELL status, report a D.

?  For your 3rd grade students that were retained due to the TGRG at the end of the year and are not enrolled this year, report an H

?  For your 3rd grade students that were retained at the end of the year and passed an alternative test (IOWA, NWEA, or Terra Nova) prior to the first day of the 16-17 school year report the appropriate J,K, or L option.

o   I am suggesting that you run an Ezquery in the 16/17 school year and pull in retained status so that you can see who has a retention marked in the 16/17 school year.  I would run/sort  by building so that you can check with each building principal to verify that all retentions are being reported and that you do not have students included that should not be.

o   When you run the Retention manifest, remember that ODE is only looking for students that were enrolled as of the last day of school in 15-16.  All of your new enrolls for the 16-17 school year will fatal out.  That is fine, you can submit with them fataling out.

*         Staff Manifest

o   Staff L Manifest is set to close on August 12th -next Friday.  We have several districts that will be using the uspemx.seq file that is created in reflections for reporting the SIF side of the data.  If you need to use that file, we can transfer it out of Reflections and load it into the DC. Just let Deb or I know.

*         Assessment Manifests

o   Currently there are 2 assessment manifests open.

o   Career Tech Assessment Collection - GW Industry Credentials and GY- WebXam records are being collected.  Closes on October 14th

o   Fall Early Learning Assessment Collection -KRA (GO) and Fall PS scores (GB -PS ELA and GM- PS ECO) are being collected.  Closes on August 19th .

*         Fall Initialization

o   If you did not have Fall Initialization run, make sure that you verify that all your students with disabilities that were identified after you promoted and enrolled students in the 16/17 school year have been added to the 16/17 school year.

*         PS Students

o   This year how received options of G and N are no longer valid.  ESC's will use H for their students.  E is still a valid option for students in districts with an ECE grant.  You will be using the same how rec'd codes that you use for school age students.

o   If you use SpS, and you entered PS students in the 15-16 school year for evaluation and they will be attending in the 16-17 school year, remember to whack them out of 15-16 and change their district enrollment date to be within the 16-17 school year on the FS record.  Failing to do so will keep all their special education records from moving over to EMIS.
