[Mail_emis] Update 12-12-2016

Good afternoon,
The following was discussed on the EMIS call this morning.


*         Graduation Reports

o   There are 3 new reports that are in the Files tab of the Data Collector

?  EOC Performance

?  Substitutes for EOC

?  Summary of both

o   These reports were picking up the highest EOC score but there was an issue with the fact that a PARCC score could be over 700 and not be proficient but 700 was proficient for AIR.  ODE has corrected the reports and pushed them back out.  They replaced the old files that were there.

o   Most of the changes would have been to ALG1 and ELA1.  There was only about 1% that had changes.  These reports will be updated every 4-6 weeks until they are ready for release as Level 2 reports, then they will come out weekly.

o   Eventually there will be 10 reports covering all areas of Graduation.  Couple will be for cohorts that are FY17 and before focused on the OGT.  Reports will cover Industry Credential pathway, ACT/SAT pathway, Prep for Success, Ones that rolls up all the pathways to see if the student is ready for graduation. These should be out by the first week of January.


*         Funding impact for students on IEPs.

o   ODE has started adding a new check for funding for students that do not have an IEP in place.  It is check FT0005.  Check you FTE level 2 reports and then check your Federal Child Count Report.  You should see error there that correspond to the FTE report.  ( we will take a look at this on Thursday afternoon during the Child Count training.)

o   They are showing up on the FTE Adjustment  report right now but are not rolling up to the payment at this time. ODE is in the process of adding dates to the report so you can see when the IEP in not in place.


*         Payments

o   Both the Traditional and Community Schools 1st student manifest are closing on December 22nd.  The 22nd is also the day that Community school data will be pulled for the January payment.  Since traditionally when a manifest closes you have until 11:59 p.m. to submit data, the manifest will remain open until then.  IF A COMMUNITY SCHOOL HAS ADDITIONAL STUDENTS THEY WANT TO BE INCLUDED IN THE JANUARY PAYMENT, YOU MUST SUBMIT DATA PRIOR TO 5:00 P.M. ON DECEMBER 22ND.  You can still submit data till 11:59 p.m. but that data will not be used for the January Payment.



*         Casino Counts

o   Fall Casino count will use data submitted by December 22nd at midnight.


*         Reports

o   L Staff and Student is open.

?  Please submit at least 1 time prior to the Holiday break, if possible report them this week.  ODE is running Cert and HQT reports and are planning to have them out prior to the start of the Holiday break.

?  Invalid cert will be out under EMIS reports and the HQT will be a level 2 report in the Data collector.  The Cert report may transition to a level 2 prior to the end of the first staff reporting window.

o   Building IRNs not on reports.

?  It due to the reverse lookup file in the DC and how you ran you first collections of the year.  If you ran the SCR first- Building IRNs are not populated in that collections thus they are not in the reverse lookup file.  If you ran your Student manifest first the Building IRNs are in that and they were populated in the reverse look up file.  That will be an issue through the end of December.  During break ODE will be fixing the SSID reverse lookup file issues.  Once that is complete, and you collect the student enrollment data, it will populate the reverse look up file.


*         CCP

o   ODE is loading course data so that the 45 day window will begin for FY16.  Once your districts data is loaded your 45 days will begin.  Courses that are currently at the district that should be a JVS course will be moved to the JVS.

o   Once FY16 is loaded, they will begin to load the FY17 course data.  ODE expects the fall CCP 45 window will open in January.



*         Collection Requests


o   There are several collection requests that will come out this week.

?  OELPA for FY16- came out this afternoon

?  KRA

?  PS ELA

?  COS-formally ECO

?  Summer and Fall EOC- If you have records from past years that need to be reported or records for students that took a course prior to the EOC being available make sure they are in and they will go over when you report this manifest.

?  DORP - will come out next week

?  There will be a couple bug fixes to the current manifest but not all districts will need to resubmit.
