· Assessments
o OELPA Assessment includes the Missing list.
§ H is now allowed as a score not reported for OELPA -Student' SSID was included in the Vendor file but student was not assessed.
o ODE is currently working on a Missing list for the DORP Assessment, EOC Assessments, the 3-8 Assessments, Alternate Assessment and OGT
o ODE will "probably" have a missing list for the State Administration of the SAT and ACT tests.
o If you have a totally random SSID on a missing list, let us know so we can let ODE know.
o You could have an old SSID on the missing list but if you are reporting a score under the new SSID you are fine.
o DORP and OELPA close on July 14th.
o ACT CD
§ ODE will be creating a new Collection Window for the State administered ACT since the CD will not be available till August 1st.
§ It will run from August 1st through August 31st. There will be an updated EMIS Data Collection Calendar released sometime this week with all the dates for the updated manifest.
o SAT
§ You will be able to get your electronic file in time to report in the Assessment window that is currently open and closes on July 28th.
§ The additional ACT collection window will not allow the SAT scores to be reported.
o There will not be an appeal window for these as you will have additional manifests, G and Other Accountability manifest next year to report these scores.
o If you receive a CD monthly that you pay for, and you get your ACT scores loaded and reported in the Other Accountability Collection, It would be a good idea to go ahead submit or at least collect and prepare in the August window since there will not be a missing list for the ACT in the Other Accountability Manifest that is out now. That way you will be able to see if you are missing any scores.
· L-2 for Staff
o We still have districts that have not submitted L2 for staff. Please try to submit as soon as possible. L-2 closes on July 14th and they are not planning an extension of the reporting period.
o CTE Reports were updated last week. They indicate the funding that will be in the July payments. CTE reports will most likely be updated 1 more time this week prior to the close of L-2.
· Data Processing,
o Data may not be processed Monday or Tuesday evening. Normal processing will resume on Wednesday evening.
· Default School year in Student Information
o The Default School Year in Student Information has been set to 17-18. If you need to transfer data for the year end processing and for assessment reporting you will need to toggle back to the 16-17 school year.
· Third Grade Reading Guarantee
o Many of you are seeing "inconsistent retention reason" on some of your students under the Third Grade Reading in the Secure Data Center. I believe that ODE has that check in there for students that did not pass the ELA and did not meet the retention score of 44 and is looking for the retention reason associated with why the student is either retained or promoted on. We have not reported the retention reasons yet so there is nothing that you can do till the Retention manifest comes out in August. There is a ticket up to ODE on this and I will update all when they answer the ticket. Make sure you check these students to make sure you are reporting correctly.
· Email to Superintendents from Office of Exceptional Children.
o This email appears to be based on the June 13 Gen issues reports. The issue is that the Gen Issues reports that came out after June 13 did not appear to have the Special Educations checks run or if they did , they might not have contained the issues from the 13th reports so it looks like all your error are gone. Please take a look at the email that was sent to the Superintendent and check your Gen issues reports from June 13th on to make sure you have corrected all issues that can be corrected. It is possible that there are issues listed in the email and on the reports that are being reported accurately, and there is nothing you can do about them.
o Examples-
§ Change in test type. If the student's test type changed from Standard to Alternate or vice versa- then it is just an informational listing and nothing to change. You do want to make sure you check the Data Collection form to be sure since when entering a special education event the test type defaults to Alternate and it is possible that it was not changed to standard.
§ ETR greater than 60 after consent. If that is what happened you cannot change that and you cannot make that entry for that check go away.
Remember that with the Gen Issues reports, they are not necessarily errors but data that is out of what ODE sees as the "norm". If what you are reporting is correct, there is nothing for you to do.
If you find that data error was made you have the opportunity to correct your data.
