[Mail_emis] Update 7/17/2017

Good morning
The following was discussed during the EMIS call yesterday.

·       Tuition

o   In the July #1 payment, ODE started to include  deductions/credits  for tuition.  The  Tuition Reports under the Level 2 reports in the Data Collector show  tuition paid out or credited.

o   If you look at the Educating district file you will see the following in columns  V-W- and X

o   When  you look at the Resident file you will see  the following

o   The first funding window for Educating District, and the 1st and 2nd funding window for the Resident District should be working.  There is an issue with the 1st funding window for the Resident district that is keeping the file from opening.   One of the other reports has students listed twice. ODE is expecting to fix this week.

o   The Tuition Paid Data has also been populated in ODDEX.

·       Assessments

o   DORP was extended to July 21st.

·         CTE.

o   Reports were updated about a week ago.  Could be some errors in the reports, ODE is looking in to it.  The pull for the reports was not a data pull for funding, it was just to show changes.  The next update to reports to include data changed last  week and student data changes , will be out around the first week of August.  They will reflect data used for the final #1 payment in August for FY17.  These reports will serve as grounds for any CTE appeals that need to be made.  The appeal for funding related data will happen after the release of the LRC.  It should be end of September/Early October.

o   SC0014 and SC0015- CTE FTE is based on a standard of 1080 hours state wide.

§  Scheduled hours of instruction                                540 hour course   = .5% potential CTE FTE   This would be reduced if the student was not enrolled for the entire time.

o   This CTE FTE is compared the Student FTE.    So if you have a student that is .45 of time in Student FTE but their course reflects .5 FTE,  the CTE FTE will be reduced.  A student cannot have more CTE FTE than student FTE.

§  Things to look at - Is student reported with the correct FTE- Are the hours for the course being reported correctly.  There could be minor deductions  just due to  calendar days but that would be few.

·       FY17 Wrap Up

o   There will be an increase to  a number of collection requests this week  and tweaks to some of the current collection requests

§  They will be adding Missing reports to the following Manifests- 3-8, Alternate Assessment - EOC.  If you see issues with these put a ticket in so we can escalated quickly to ODE.

§  CTE assessment and Graduation Collection both open through October, will be opening within the next couple weeks.

§  There will be an FY18 cohort report for FY18 Grads  released.  They have not been updated to show move ins or outs for  FY17.  .  These will show the status of student as of the end of FY16. Once Grad opens, there will be updated reports released

·         FY18 Manifests.

o   At least 3 will be opening this week

§  Retention Manifest

§  SCR Manifest

§  Initial Calendar Collection

o   By the end of the Week possibly

§  SOES Beginning of the Year Collection

§  Community School Address collection

o   September

§  Beginning of the year collection for Traditional districts

§  Assessments

·         Summer and Fall tests.

·       Appeals Windows Open

·       Fall Initialization

o   All Districts should have received an email from Cherwell about Fall Initialization.  After reviewing  your documents, please sign the sign off sheet indicating if you want Fall Initialization run- and the fields that you want updated, or that you DO NOT want Fall Initialization run.  Once you  have signed the sheet,  please attach the form to an email reply to  the original ticket.  Please let us know if you have any questions.

·       Reminders
