[Mail_emis] Update 6-5-17

Good morning.

The 16.3.7 and 16.3.8 updates were installed over last weekend.  I have attached the release notes.  Please read over them as there were multiple updates to SI.

There are also a couple Scripts that Kelly will be running against the database either tonight or tomorrow night


·         MAJOREMIS now processes students with a Sent to Reason of CE or CI that went to a Juvenile Detention Center (JDC) for part of a school year as if they never left the district or building.

o   If a district has students that have been or out of a JDC throughout the year, you must rerun the appropriate MAJOREMIS tabs on the Verify/Update Majority of Attendance IRN screen after running the script.

·         The Majority of Attendance IRN for preschool students at home school attending an ESC full-time are updated to either the building or district IRN.

o   You must rerun the Untested and Alternate tab on the Verify/Update Majority of Attendance IRN screen after running the script.

o   Preschool students meeting the following parameters will receive an updated MOA IRN as though they are enrolled and attend the resident district.

§  Grade Level = PS

§  Sent to 1 or Sent to 2 = ES

§  Percent of Time = 0

·         Period S Transfer - Student Discipline (GD) process now compiles the total number of days of discipline when a discipline incident has multiple actions and reports the total value under Discipline Days in the transfer file.

There will be more to come in a separate email to EMIS coordinators about MajorEMIS- MOA  updates.


Manifests closing and appeals dates

Please Note that the appeal for the Fall Third Grade Reading  Closes tomorrow.
If you need to file an appeal you need to get it in ASAP.
Check your Gen Issues reports for Missing RIMP codes or misreported Diagnostic results.  If corrections need to be made you may need to file an appeal.

The L2 Staff manifest closes on July 14th.  There are still 13 districts that have not submitted the L2 manifest.  ODE will be opening the SDC soon and the teacher information in the SDC is based on submissions from L2.

o   Just a note about reporting separated staff in L2.

§  If you  have a staff member that separated over the summer and reported the separation in the 1st  Staff manifest, you will need to continue reporting that staff member till the L2 manifest closes in July.

§  If you have staff that you reported a separation for during this school year, you will again have to report them through the end of the L2 manifest.  Once the Staff manifest closes in July, you will be able to mark any staff member that was reported as separated during the 16-17 Staff manifest no to EMIS.

§  If you conceal a staff member that is no longer employed this year but still needs to be reported to EMIS, even if you  have left them Y to EMIS, their records will not come through.

·         There was an issue with the processing of data at ODE over the weekend.  If you submitted on Friday, your collections on Monday would have still shown as pending processing.  If you have submitted since Friday, it will override your data submitted on Friday.


·         ODE was planning on opening the SDC today, but with processing not completing over the weekend they will be waiting till at least Thursday after Wednesday night's processing to open at the earliest.

·         ODE is expecting to open multiple Assessment manifests this week along with the G-Graduate manifest and the Financial H collection.


·         Issue with some of the CTE reports.  If you are able to open your CTE reports your reports are fine.  There are some districts that may have issues with opening their reports.  If should be fixed by tomorrow.


·         ACT has released a new version of the Work Keys assessment.  The new version has different score areas on it from what they are taking now.  The new version was available June 1st.  Guidance from the Career Tech office is that students should continue to take the previous version of the Work Keys test.  It will be available till at least the end of September. Students need to have scores on the same version for graduation. Due to the difference in the two assessments, ODE will be added 3 new scoring areas for the new assessment.  They are working with the Software developers to update software to accommodate the new scores.  There should be relatively few students taking the assessment at this time.
