[Mail_emis] Update 3/27/2017

Good afternoon,
Below are items discussed in the ODE EMIS call this morning and the ODE Change call last Wednesday.

Change Call Items.


1.       Change 52224- Expand the use of the FC record.

a.       ODE will be allowing the use of the FC record to report mis-reported withdraw reasons for Grads.  You will be allowed to report the FC record to report that a student that should have been withdrawn with a reason that takes them out of the cohort but was not.  You will not have to report the supplemental withdraw paperwork as you have in the past and you will not have to submit overrides for these students.  -More to come once the  manifest will accept dates in the past.

2.       Change 41750- CCP Students Denied Participation/Students billed.

a.       This will be reported in the final window

                                                               i.      Attribute Name : CCPDENIALS

1.       Definition: The count of CCP students denied participation because they did not give notice of CCP participation by the deadline date

2.       Attribute Number: Valid Options 000000000 -999999999

                                                             ii.      Attribute Name: CCPREIMBCT

1.       Definition: The count of students who failed or dropped a course where districts sought reimbursement from the student for the cost of the course.

2.       Attribute Number: Valid Options 000000000-999999999

                                                           iii.      Attribute Name: CCPRESTITU

1.       Definition: The total dollar amount a district is seeking for CCP reimbursement due to a dropped or failed course for all students. (Rounded to the nearest dollar)

2.       Attribute Number: Valid Options 000000000-99999999

3.       Change 43144- Academic  Disadvantagement Definition

a.       Academic Disadvantagement Reporting Instructions

                                                               i.      Academic Disadvantagement is only to be reported for career -technical students. When reporting Academic Disadvantagement, report this option only for students enrolled in career-technical education (CTE) workforce development courses and Career Based Intervention (CBI) courses.

                                                             ii.      Family and Consumer Sciences, also known as Work and Family Life, are also CTE courses, but there is no need to report Academic Disadvantagement for a student enrolled solely in these CTE courses.

4.       Change 47647 - Non-pub Alternative EOC Transfer Students

a.       New Score Not Reported option (FA235)

                                                               i.      2 -  Assessment score not reported because student received graduation credit for alternative Non-Public school EOC assessment prior to public district enrollment; Number in score field represents number of graduation points earned

                                                             ii.      This can only be reported beginning  this year for students that are coming from a non-pub in Ohio.  Non-public schools are required to test students with EOC exams.  For the 13/14 school year Non-Pubs received a waiver for the EOC tests.  Since they had they waiver, you can report a score not reported of W with the number of grad points associated with the grade they received in the course.

1.       For the 15/16 school year Non Pubs were required to test.  If a student did not test in the 15/16 school year then the district they enroll in needs to test them.

2.       For the 16/17 school year the Non Pubs could EOC test or could have tested with an alternate test.  If the student received an alternate test then you report a score not reported of 2 and the number in the score field that corresponds to the number of grad points they should receive.

5.       Change 48134

a.       Clarify the reporting of Score not Reported (FA235) Reason of Y

                                                               i.      Student transferred in with course already completed from out of state or from home schooling only.  Do not report grad points.  Grad points will be reduced.

6.       New Collection Request

a.       COS is out - Formally the ECO


7.       Tuition Module

a.       One issue that the tuition module has is that court placed students on to JVS full time are not coming into the module.  ODE is checking to see if these students are tuition eligible.

b.       Records are not reviewable if the educating district has not updated the parent and address fields.  If the data is unknown you can enter unknown in that field.
