[Mail_emis] EMIS Update 12/17/2018

Good morning
The following was discussed on the ODE EMIS call this morning.
* Processing for over the Holiday
o Both the Community Schools and the Traditional schools Student collections will close this Thursday at 11:59 p.m. Processing will begin shortly after Midnight and will continue through Friday. It is likely that you will not see many updated reports first thing on Friday.
o Processing will not run again until Wednesday December 26th. The student windows will remain closed until January 4th, Staff and Assessment windows will be open. If you submit data during the closed time for processing, your data will sit at ODE until processing begins.
o ODE will begin processing and will process normally on December 26th, 27th and the 29th of December. Processing again will stop after the December 29th and will not begin until January 2nd. After that regular processing will begin.
o January 21st is a state holiday. Processing will not happen over that weekend. ODE will process on January 17th, and will not process again till the evening of the 21st.
o
* Grad for FY18
o ODE is completed with the Grad processing for FY18. Data was sent to the Board of Education last week.
o It is ODE's understanding that everyone that submitted and appeal should have received an email about the status of their appeal. If you have not, then you will need to contact Data Quality.
o ODE is planning on releasing new Grad Reports in the DC in Mid-January that will be for the FY19 4-year cohort and the Fy18 5-year Cohort.
o Grads Reports and will include data for the current 9th grade students.
o
* CTE Assessment Appeal
o If you had and appeal the data is due back by Friday.
o
* Federal Child Count Data
o The data submitted by the close of the Student manifest will be the data submitted for the Federal Child count. ODE is going to send the number of students for each district that have fatal or critical errors. (I did just receive the file and will sending out shortly.) I will be contacting districts with high numbers of issues based on the report.
o Bug fixed for students that were under the scholarship program but going back to their district for CTE. These students should appear correctly now.
o Confusion on some errors that districts have that will stay as errors.
o Warning errors so they are not in the count sent out today.
? Student goes to a NP under the scholarship program (JP or AU) Home district reports the student and their special-ed events.
? Many cases in the past they have counted for the resident district in the FCC .
* More of these students now are being served under ISPs where they are attending and if the NP is inside a different districts-not their DOR, because the services are being funded by federal dollars, that credit will go to the District of Service that is implementing the ISP at the NP. You may see these students counting at another district. This is a warning that will not go away. It is correct.
* NWEA Map Assessment
o There will changes to the NWEA Map assessment collection for DORP schools. The collection will be an all year collection instead of a Fall and Spring collection.
o Communication should have gone out to the DORPs on this.
o The collection that is in the DC will have an end date change and the name will be update.
o ODE will allow all dates between September -June. They will also be collecting the Day of the Month for the tests. If the day is not sent ODE will use the 1st of the month. If could cause issues if the day is not include since there needs to be 13 weeks of instruction and if student took at the end of the month and no day is given it could like either the test was too soon or too late.
* FTE Reports.
o Bug in how the 30 average is reports.
o Groups of student that existed for a while and now don't exist or student that were not in the group but now are. I am still trying to understand how to see this in the reports. I will get back to you later with a better explanation. :)
