[Mail_emis] Update 1-16-2018

Good evening.
The following was discussed during the EMIS call on January  16th.  Please take note of the section on the NIEP for Special Education as there is a significant change to how they are being looked at.


·         eSchool not tested students

o   If a student has been enrolled in an eSchool for 2 years and has not tested in those years, they will begin to fatal out in the Data Collector.  They must be marked at tuition students and they will not generate state funding.

o   There will be an appeals process, but there are no details available.  If you have questions on specific students please email HelpEMIS @mveca.org to create a ticket and I will put it up to the state.


·         New Report

o   Under the files tab there will be a new report titled the Principal's Assurance Report.  It will be under the files tab.  It will be a teacher report about teachers teaching in field.  It will contain the same information as the TLC report, but in a more readable form for the Principals.  There will be no new data on the report.  The first report was to be out last week, but as of tonight I do not see it under the files tab.

§  Principals will print off and sign it and place it in a file in case there is a Federal Audit and they are asked to produce it.

§  It will be in the DC under the files tab

§  It will be in .csv form.  Set page to landscape so it will print correctly.

§  There will be 1 or 2 more copies of it as it is a hand generated report.

§  Only have courses on it that count for HQT for that building.

§  1 district level report if there are teachers that count at the district level.

§  It will be 1 file per building.  No need to open and break apart for each building.

§  Center for Teaching profession will be putting out information on this report.

§  Contracted ESC courses will show based on how they are reported.  The HQT IRN will determine where they show on the reports.


·         FY18 Staff L 1st window.

o   Will definitely close on January 31st.


·         FY18A Assessments closing.

o   KRA and DORP will close on February 2nd.  We are expecting the update to Student information this week that will fix the DORP import process.  As soon as it is installed I will be sending an email.



·         CTE Reports

o   ODE is rolling out new CTE checks and not new certification checks. Some were fixed last week - have verified if counts are not right they still have errors, just maybe not as many as the count shows. The errors on the report are what they should see. ODE will send something out when they believe all issues are resolved and all checks are out. The Correlated bug should be fixed this week. Some checks are new for courses that should be correlated and are not. Some districts have slacked off on reporting correlation records because in the past if they forgot them, there was no error generated. Direct them to the EMIS manual correlation section (CV), and if they have specific questions open a ticket.

o   ODE will continue to run the CTE funding reports in the L2 Manifest.


·         NIEP

o   ODE has noticed that there are a lot of NIEPs that are being reported that have not been updated with new information.  They are not referring to NIEPs that are being reported with a non-compliance code of 12- IEP in compliance just not reported in previous reporting period.

o   They are referring to the NIEP's that are reported with a non-compliance of 10- Newly Transferred in IEP adoption not complete, or 11- IEP expired now new IEP in place service being provided.   There will be a tweak in how the NIEP is being used for funding purposes.

§  A student will only be funded for 30 days from when the IEP is reported.  OEC has stated the 30 days in enough time to get an IEP in place.

§  It if stretches beyond 30 days a second NIEP can be reported with a new event date.  The OEC will be monitoring how often that happens.

§  It will go into effect within the next couple weeks.

§  You will see students showing on the adjustment report as not funded for the IEP once the 30 days has passed.
