Good evening.
The following was discussed during the EMIS call this morning.
· March Reporting
o March Files were released last week and they have been loaded.
o Appeals Window opens today
§ This is specifically for students that are missing from the March Follow-up file.
· Missing due to no program of concentration reported for the student
· Missing due to Program of concentration was mis-reported.
· Missing due to still being enrolled
§ There could be others but the above are the main ones
§ The appeals will run for 4 weeks so there is plenty of time to determine if you are missing students and file the appeal.
§ There will be an additional appeal window for miss reporting a student or an assessment- not for students to be added to the file.
o There is an additional issue with the March files.
§ There could be students that are included in the file that should not be. ODE is working to clean that up. 1 to 2 % of all students in the all the files.
· This is not something that you will appeal. You have the option in the GV follow-up to mark the student as reported as a concentrator in error in the other follow up field.
· Data Collections closing this week
o Staff Collection - Closes Wednesday January 30th at 11:59 p.m.
§ Discussions will take place on an extension. There are those at ODE that want it to close on Wednesday. ODE will keep us informed. If we do not hear from them it will close on time.
o KRA Collection- Closes Friday, February 2nd at 11:59 p.m.
o Fall DORP Collection- Closes, Friday February 2nd at 11:59 p.m.
· Principal Assurance Report.
o Working on finishing up the report to load into the DC under the files tab.
o Will have the same data as the TLC report in a more readable form for Principals.
o Will come out as a .csv. Make sure that when you go to print you set the page up as Landscape it will print on 1 page.
o 1 report per building based on the HQT building code.
· Assessment Collections
o New Assessment collections to open in the next couple weeks.
o Goal is to get them open and get missing lists out based on enrollment.
· CTE FTE
o Roll in additional checks. Close to getting all the checks in
§ CTE 26 checks - If there is no CTE 26 you will see the error
· If you expect to get funding work with your CTPD to make sure a CTE approval was submitted. If there was one submitted, create helpdesk ticket.
· ODE does not know if they will do Overrides for CTE 26s that were not approved.
§ Some issues
· Some courses still show as a funding category of 0 on the report. ODE has it correct but the report is off.
· Some Correlated Course checks are not correct
· Mapping related to correlated.
§ Make sure that you are doing your mapping and correlation.
§ Most fixes will be in L2 which will open February 6th. To see the updates you will need to submit under L2
§ ODE is creating a new report that will list CTE teachers that have been approved for an override and you will see funding come back in. They will still show on the TLC report as not certified.
o There are about 2 weeks till ODE will possibly use live data to pull CTE funding for February #2 payment for Traditional districts.
o Community Schools February 23
o JVSD the week after Community Schools.
· ECOT Students
o ECOT closed on January 19th. ODE did a mass withdraw of students that were still enrolled on the 19th for funding issues. On the EMIS side of the data there is a withdraw of January 19. If these students enroll in a new district you should not see any issues on the FTE reports.
o If a district enrolled a student prior to January 19th. ECOT has probably not withdrawn the student. Those students will show as issues on the FTE report. ECOT is expected to continue reporting. ODE has not been able to override the data in ODDEX. It is a given that you will have an overlapping enrollment - admission/withdraw errors. The FTE data is correct. If your FTE report reflects correctly you can hide the ODDEX errors.
· Military Student
o Out students- District Relationship 2 or 3 students
§ Most cases reported by the educating district.
§ Ones that the Resident District report
· Contract Career Tech
· Special Ed Coop Students
· Students that count in accountability for you.
