I also wanted to explain a few more things to avoid confusion.
* Employee Type Column: This is used in Worxtime to identify if the employee is already benefit eligible or not. It helps with reporting when Worxtime is telling them 300 employee qualified, they can sort on this column to see who they already offered benefits to because they are already benefit eligible and therefore focus on those that are not benefit eligible today but now they qualified per Worxtime so now yes they will offer them benefits. Eligible we code as FTE and non-eligible we code as VHE. We can translate a code to the FTE/VHE on this end if needed, or if the client wants to load their own employee file they will need to have FTE or VHE.
* Salary and Pay Rate columns. This is for the affordability testing. It depends on which of the three options the clients selects to know what they need to provide. If they elected prior W2 wage amount, then that will go in the salary column. If they elect rate of pay for the testing then annual amount goes in salary column and hourly rate of pay in pay rate column. If they elect federal poverty level then 11770 will be filled in the salary column.
* Measurement Group and Pay Period Name columns can be left blank. These will be assigned by Worxtime.
* Employee Group Column: this is to identify those that work less than 12 months to have a break in service setup for them with a lower threshold. We don't need to know when the breaks are - just the total # of weeks for the break.

Attached are our templates of what data we need as well as the pages from our onboarding company worksheet given to clients.
We need an employee file that has all employees who have hours worked since the start of their measurement period. The employee information is what creates the record in Worxtime for the employee. Then we need all hours worked back to the start of their measurement period broken out by pay period ending date or by month to record hours worked in Worxtime. Once all those initial files are loaded and client is trained on the system there are many options in how to update the employee information and load hours. Basically they can either upload a new whole employee file each month that captures all new hires and term dates and any changes OR they can just upload changes such as new hires and note term dates for those that termed. The format of the file is the same as the initial employee file. Then we would need their hours worked for all future pay period ending dates each pay period or each month going forward.
Changes are done thru an upload file. So FYI, as a new employee file is uploaded Worxtime matches up the SSN and overlays all information for that employee in Worxtime. There is no history kept on the employee information. It is updated per the new file. OR clients may edit information in Worxtime - so under employees they can edit a profile for example and make changes. I caution them though that if they do that and send an employee file to make sure that corrected information is on the new file as it will get changed per what is on the new file. Clients can also key new hire directly into Worxtime if they prefer as well.

Hello,
I work at an ITC in Ohio and support many of the Clark, Greene, Fayette, Clinton, and Madison county public schools. I've been collaborating with MEC (now META) and MDECA to try and provide our schools with the information needed to upload to Worxtime. I'm having a webinar tomorrow morning to share these reports with my users that will be employing Worxtime.
Below is an invitation to the WebEx; if you would like to join us; that would be great! Participants may have questions specific to Worxtime. We will be talking mainly about State software and the reports; so, don't feel obligated with such short notice.
I have a couple of questions:
1. Do you have a Quick start up guide that lists the data needed initially and what is expected on a per pay basis? I have the 9 page spec document. It would be helpful to see a one-two page doc that lists what to send when. If not, let me know and I'll ask you additional questions.
2. Once data is imported to Worxtime, how do districts make changes? For example, if an employee's pay is voided.
