Hi All
There is has been discussion on the Follow up being at the district level.
I spoke to Annette and she created a role that you can give to someone that will be updating the students at the district level that will only give them access to the follow up.

Karen,

Per our discussion, there is a new screen for Student Follow up records for EMIS Reporting.  The new screen for data entry is in the EMIS Menu which is only available at the district level.  The issue is that many times it may be a High School counselor that is entering the information and they do not typically have access to the EMIS screens at the district level.

I have created a new security role to make available to your EMIS coordinators if needed.  The role is called: EMIS Maintenance Follow Up Records and will grant access ONLY to that particular screen in the EMIS menu.  Important note:   Since the EMIS Maintenance screen is a district level only screen, the role will need to be added at the district level.

The following are the options for the security administrator to add this access when needed.


  1.  If everyone in the Security Group needs access to the Follow Up Records, you will do the following:
     *   Go to: Management>Security>View Groups and click Search
     *   Click the edit pencil beside the appropriate group and navigate to the Group Members tab and review the list of group members to make sure everyone in the group should have access to the new screen at the district level.

                                                               i.      If they should not have access, exit from the group and follow steps in #2.

                                                             ii.      If they should have access, then proceed to c.

     *   Navigate to the Group Roles tab
     *   Select the District in the School drop-down and the new EMIS Maintenance Follow Up Records in the Role drop-down box and click Save.

     *   Access and responsibilities are different in each role, district and building.  It is recommended that you place your test user account into the same group, and log in with the account to an incognito window.  This will confirm that there are not any conflicting roles that will prevent the group from accessing the new screen.  As always, if you run into questions or access conflicts, please create a ticket by emailing the name of the group along with the issue description to helpstudent at mveca.org<mailto:helpstudent at mveca.org> and we’ll assist in troubleshooting the conflict. 😉
  1.  If only an individual user needs access to the new screen, you will follow the following steps:
     *   Go to: Management>Security>View Accounts
     *   Enter the Last Name (or Username) of the individual that needs access and click Search.
     *   Click the edit pencil of the correct Account.
     *   Navigate to the Groups tab and make note of their Security Group (you will need this for testing purposes)
     *   Navigate back to the Roles tab (notate any existing roles) and select the District in the School drop-down and the new EMIS Maintenance Follow Up Records in the Role drop-down box and click Save.

     *   Access and responsibilities are different in each role, district and building.  It is recommended that you place your test user account into the same group notated in step d and recreate all roles notated on the Roles tab in step e.  Then log in with the account to an incognito window.  This will confirm that there aren’t any conflicting roles that will prevent the group from accessing the new screen.
