[Mail_emis] Update 2/1/2016

Good evening,
The following was discussed during the ODE EMIS call this morning.

*         16S

o   There are about 30 traditional districts whose FTE is significantly reduced from FY15.  ODE wants to use live data for the February payments.  Once the next manifests come out if the districts report right away ODE will update from those submissions.  If not the funding will return to the districts once they do submit new data.

*         The new Student manifests were supposed to be out this afternoon but as of 6:30 this evening they are not there.


*         Due to "lessons learned" ODE will allow updating and reporting the Majority of Attendance IRN in the second windows.  They will release dates in March.


*         ODE is working on getting HQT and Certification reports out prior to the close of the Staff Manifest.  They will be followed by CTE reports


*         Appeals window closed on Friday. Office of Data Quality is reviewing and will be sending out acknowledgements of receipt of appeals this week. Later this week will be the earliest that approvals will come out.


*         Once appeals are approved there are 2 ways that the data will come into ODE.


*         Where there are just a few records that need to be updated, the Office of Data Quality will get the information directly from the district and data will be updated by hand.

*         If there is a large number of records, ODE will release an "Appeals Only" manifest.

o   There will be multiple manifests released (one for each type of appeal) If you receive notifications for new manifests you will receive these emails.  When you log into the Data Collector only districts that have been approved to submit an appeal will be able to see the manifest. It will be district specific. The type of manifest for the appeals will be the  option Z in the data set drop down.

o   Data must be a complete set of data for each type.  If you have 50 incorrect assessments out of 100 you need to submit all 100 assessments not just the 50 that were incorrect.

*         If districts continue to find issues in their data, email the Office of Data Quality to notify them of the issues.



*         Once the Office of Data Quality has approved all appeals ODE will send each ITC a list of district that they have with appeals.


*         The appeals manifest are planned to close on February 12th.  If you need to submit an appeal make sure your source system has been updated with the correct data now so that you will be ready to submit when the manifest become available.


*         Newsflash

o   Most of you have been receiving the Newsflash from 2 systems.  ODE will shutting down the process that the original Newsflash has been coming from.  ODE will be moving to the Gov Delivery

?  ODE will be force subscribing people to the EMIS Newsflash list

?  If you have an EMIS Coordinator Roll in OEDS

?  If you have a SAFE roll or ODDEX roll ODE will add to the list.

?  You can sign yourself up once ODE releases the ability to see the Newsflash list.  It is currently hidden.


*         ODE EMIS Trainer

o   ODE has posted the job for the second EMIS trainer.  ODE has attempted to hire internally and was not successful.  The job has been posted and you can see the job posting on ODE's website under ODE jobs.  It is called the Data Administrator Trainer 1.  If you have questions you can contact David individually.

o   The job was posted last week and will only be posted for 10 days.  It will close on Saturday the 6th at midnight.


*         5YR4 updated manifest

o   Was to be out this afternoon - not there yet.

*         SCR will have a new manifest due to a bug in the manifest

*         OTELA was to be out this afternoon - did not make it out.

*         FY15 Grad - Soon
