[Mail_emis] Update from7/5/2016

Good morning!

I wanted to update you on the EMIS call from July 5th.

Building IRN that is on the FA record
            The Building IRN that appears on any record type (FA) that are generic record types(building IRN in the heading) are there for sorting by building, but is most likely the irn from last year.  ODE does not use that IRN, and ODE is working on updating but since it is not critical, it is not a priority.
The building IRN that matters has a separate name ex- attending building IRN, WKC IRN, MOA IRN, those are the ones that count.  Others that ODE uses are on staff and course records.  Location IRN and HQT IRN and Building IRN on the staff employment record.

Reverse Lookup file
            All 0s in the review files are caused when a student is first loaded with no SSID.  ODE will be running clean up on this again.  Once they do that you will see Null instead of all 0's.  You will just need to prepare your S data that has the SSID in it, It can be the SCR or the final manifest.   Until ODE runs the script for this, MVECA will continue to clean them up when you send us a request.
SDC
            The SDC opened last week with the test scores loaded.  Based on several districts looking at it, we are not real sure how accurate the data is.  The SDC should reopen again tomorrow.  If you are still seeing issues on the tests please let us know.
D Reporting
            There were additional students that needed to be added to the D files.  Springfield Clark CTC is our only district that had additional students to be reported.

Files Distribution in the Data Collector.
            ODE will begin to send files to the DC. They are planning on sending a copy of the CS_Fatal report to the files tab.  When this happens all will be notified via the Newsflash, although it may not be the same day that the files appear in the DC.  ODE Data managers are putting together a file of assessments for concentrators that have left school so that you can check on assessments that have or have not been reported.

Assessment Issues
            Reminder to check your Fall EOC test results for students that took Geometry and Math II.  If you have not gone to AIRAST and downloaded their new scores please do so.  If you only have a few students, I would not recommend uploading a new file into DASL, I would just update the scores for those students.  It is possible that you did not have any students that took Geometry or Math II in the fall, if that is the case you do not have any adjustments to make.  The Fall EOC manifest has been extended to July 29th due to the change in scores.
            There was confusion when assessment windows were open on how to handle invalid assessments, ex- security breach.  Since they could have been given in two settings something could have happened in the first setting and the district went in to AIR and invalidated the test, what was not clear to the district, is that when it was invalidated, the district should have marked both sessions as invalid.  On the results file, the district received a score on just the one section.  There are some districts that are reporting scores that should have been invalidated.  ODE will receive a list of the students by SSID and school of the scores that should be invalidated. ODE will share the list out through the Files distribution in the DC. Those students assessment records will need to be updated with a score not reported of INV instead of the score that you are reporting.  ODE will also notify the ITC with the districts that we have that will need to make adjustments.
Non State assessment manifest opened this week.  Priority are the AP and IB assessments to make sure you get those in. There was an issue with the non-state fataling out the writing scores for the SAT and ACT tests.  I heard from Wilmington that as of today, the scores are no longer fataling out.   Fall Early learning and KRA also opened this week.  There are a couple districts that we are having issues with their KRA scores not collecting in DC, I am waiting on an ODE ticket to see if it is a manifest issue or if we need to look at something else.
Fresh CTE data was pulled last week so you should see updated reports in the staff manifest.
The OELPA and the Spring ELA will open in the fall.


FTE Reports
            FTE reports in the S collection should be updating regularly.  The dates that are on the report when you look at them under the level 2 may  not be correct, but if you open the report it should show an updated date and the data should be updated.  If you find that it is not then please let us know.
