[Mail_emis] Update 12-18-2017

Good evening
The following was discussed today during the EMIS call this morning.

ODE Database update

Starting sometime on Friday afternoon, December 22, ODE database staff will begin moving the ODE Oracle database server that supports EMIS to new hardware.  During this move, many parts of the EMIS system will be unavailable.  This outage will run, at a minimum, from Friday afternoon until sometime Tuesday afternoon (December 26).  Because of the large volume of tables and data being moved, and the fact that the transfer will not be actively monitored on Christmas day, there is a potential for the outage to be longer if any issues arise.

Although the EMIS system is designed to be asynchronous, an outage of this length may have unintended consequences for anyone who tries to submit to ODE during this time.  We will therefore shut down the ODE ZIS and Report Collector during the outage.  You may keep your Data Collector active, but it will show as disconnected from ODE, and any submissions during this time should queue up at your DC until the system at ODE comes back online.  However, if there are any issues and a submission is not sent to ODE, you will see an appropriate error in your DC so the district will know that data was not sent.

As soon as the ODE system is back up on the new hardware, we will contact all ITCs.  We will also be in touch if it looks like the outage will last beyond Tuesday.  It is likely that a restart of the Data Collector service will be required to reconnect with the state ZIS after the maintenance.

We intend to complete processing of final submissions for the S1TRD and SAODE collections (closing Thursday 12/21 at 11:59 pm) before the system is taken offline.

Note also that the same maintenance means that ODE's Secure Data Center, Report Card, and Advanced Reports will also be offline.

You will be able to submit your SCR data and Contact data that goes to the SSDT.  ODDEX will also be available.  SDC , LRC and Advanced reports will NOT be available during this time.

Since we do not know for sure when the DC will come back up or if we need to restart, I am asking that you do not submit any data under the ODE manifests until Thursday morning.  This will give us time to make sure things are running properly.  You should be able to run collections and check your data, just do not submit data till you hear form us.

MVECA0

On Saturday 12/23/17 from 7:30 AM to 8:30 AM we will be applying Server updates to the MVECA0 host.  This will mean MVECA0 will be unavailable during the process.


SOES and Traditional beginning of the year manifest and Federal Child Count

Both manifests will be closing at 11:59 p.m. on December 21st.  Office of Exceptional Children will be using data from the 1st manifest.  Please makes sure that your FCC looks good.

CTE Level 2 Reports

ODE is almost there with getting the new CTE reports.  ODE is running CTE funding reports daily so they will be able to produce daily updates to the CTE reports like the FTE reports do.
Most likely ODE will push these reports out over the Holidays.  The will not have 100 of the adjustments included.  By Mid January they should be there.  They will evaluate and look to using live data in January for funding.

New Enhanced Missing Reports

ODE has received vendor files for the KRA, ELA, DORP and the 3rd Grade ELA, OGT.  They do not have EOC yet.  ODE will be able to produce missing lists and unexpected lists.  They are working on a list for the COS based on enrollment.  All assessments will have missing lists.

Gen Issues Reports
They were generated today and copied out.  They will not be reissued till the first week of January.
