[Mail_emis] Update 1/3/2017

Good morning,
The following was discussed on the ODE EMIS call Tuesday Morning.


*         17L

  HQT reports could be out by the end of the week.  Invalid Cert reports have been copied to the web.


*         Processing over the Break

   Due to ODE staff being out during break data was processed on the 22nd but not during last week.  Regular processing began over New Year's weekend.


*         Student Manifest
 The second traditional window and the BODE for Community Schools will open on Friday.

The SSID table changes will be pushed out Thursday night so they will be in place when the new manifests open Friday.

Correct Building IRNs will start to populate and it will help with SSID changes.

You will see other new collection requests for current manifest, but it will just be for how the manifest handles the SSID changes.


*         FTE Level 2 Reports

  There will be changes to the FTE level 2 reports once the new manifests are published.  These changes will ONLY be in the new manifests.

   You will not see the new changes till you submit data in the new manifest



  Changes

  New result codes. -2 characters and 4 digits
    Correspond to the different FTE adjustments and new severity levels that will be incorporated.
  Could be fatal, or warning.  Names will stay the same.

 Change the order of some of the fields.

  Add the grade level of the student.

  Add the % of time. Will be Original % of time, sent 1 and sent 2 along with the sent reason will be in a separate column.  It will not include the sent to IRN

  Add Severity Codes

  Add Building IRN

   Before winter is over, there will be snap shot data for payments.



*         SCR Updates

New checks added to the SCR that were to be out there by the end of the week ( they are there now!). .  You can find the report explanation for these new checks here:

   Some of these errors do not impact funding but should be addressed.  ODE is not guaranteeing that all the errors are accurate but they should be close.

   ODE will send a Newsflash when the codes are in place.


*         Graduate Information

   ODE is continuing to work on Grad information.  The State Board has a working group that will report back to the board about whether or not there should be changes to the graduation requirements.  Please take a look at the Grad Report that is in the Data Collector for this year's juniors..  Be aware of students that need Graduation exemptions and EOC records for courses that were taken prior to the EOC tests being available.  ODE will be updating these reports this month so if you can get the EOC information in it will be to your advantage.  The Fall EOC assessment window is open, even if you did not have fall tests, if you have updated students that took tests prior to the EOC being available, those records will report.  My advice is to send a file over to ODE to get them in as soon as possible.


*         FY17 Assessment Manifests

   Fall preschool and Fall 3rd grade reading were scheduled to be open in December.  They should open shortly, after the updates to the SSID tables have been pushed out.

   Missing assessment reports for the KRA and OELPA are expected to be turned on in the next week or so.


*         ODDEX- CCP

  ODE is still loading district data.  About 80% has been loaded.  They are attempting to load the last 20% in the next 2 days.  The 45 Day window has started for some students.  They have not loaded the match score yet, so you will have to look at student individually to see if the student was

   recently updated.  By Mid-February ODE expects 2016 CCP to be cleaned up.


   ODE has not sent out an EMIS Newsflash concerning CCP since the remaining 20% has not been loaded.  Once the final 20% has been loaded ODE will send the Newsflash.
