The following was discussed this morning on the ODE EMIS call


·         Appeals

o   There are 2 appeals windows that are open this week and will close on Wednesday, March 15.

§  March Data Appeal for students that need to be added  to the follow-up  files

·         Starting to process the appeals data for CTE.  It will take a little time to get them added.  You will see an additional Level 2 Validation file in your collection.  MVECA will add the add the additional student to the FFE for you .  You will also have a file for verification purposes that will contain all your students new ones included.

§  KRA issues


·         Training

o   New EMIS Coordinator training for Year end.  They will be April 6th and April 10th.It is the same training for each day.  They are not in STARs yet but should be by the end of the week.  These are geared toward EMIS Coordinators with less than 3 years of experience.  There will be a EMIS Newsflash announcing the dates.


·         New Tuition Module in ODDEX

o   Will be launched this Friday.  Information will be coming out later this week about accessing the module

§  Superintendents, Treasurers and Assistant treasurers  will have access to the tuitions module.  EMIS Coordinators will have read only access-Access can be updated.  There will be new tuition specific roles that will be added.

o   It will be a soft launch so that you can take a look and make updates to EMIS data if necessary.  By the end of the 2nd- Mid Year Collection data needs to be submitted.  All tuition students from July. 1st through December 31st must be updated by the close of the Mid-Year collection.  There will be a 30 day review for this data, but it works differently.  The 30 day review will not begin till May 1st.

o   You can flag and review prior to that, but the 30 day timeline begins May 1st.  Most likely there will not be a Newsflash on the open this week.  There will be information out on the roles.

o   There will be a contacts manifest for reporting address and parent data, but most districts will not use this.  You will be able to hand enter contact information since student software usually does not have the contact information that you need.  It will also have the ability to escalate issues that districts have to the area coordinator (ODE is working on this functionality for SOES, but it will be a little while for that)

o   ITCs will be trained on using this module during the ITC EMIS meeting on March 29th.


·         Reports

o   By the end of the week the FTE reports will be updated to include the special ed FTE.  For students that have special education the FTE and Special education FTE should be identical if the IEP is complete and in place.  If the student does not have special education that column will be 0.   If the student with special education has missing IEP information the special education FTE will be adjusted.

o   The Special ed adjustments from the FT0005 records on the adjustment report was NOT pulled into the March #2 payment.  ODE is expecting it to be rolled into ALL entities for the April payment.

o   WKC should be rolled out by the end of this week.  Go ahead and run the MOA for DASL districts.  I have not found any documentation that MOA is not working.  The WKC now has different levels of severity for each student.

§  Remember that the WKC is not directly related to testing.  WKC determines by dates of enrollment where a student counts in the district.

o   Good chance that you could be contacted by ODE if you have not submitted WKC data by mid to  end of April.
