[Mail_treas] SERS Service Credit Days and Hours

Good Afternoon Everyone,

I wanted to touch base on a new instruction you might consider as you activate New Contracts. Entering Calendar Stop Dates on the Compensation being replaced by the New Contract.
As you begin to start paying compensations for FY24, an issue you could encounter is SERS service days and hours not reporting properly and you have to make adjustments on the first pay.


SERS hours are calculated based on the number of days that process on the compensation you are paying.  Example: When you run SERS Per Pay Report Custodians are only reporting one day  processed because the compensation start date is 7/14/23  and the pay period dates were 7/1 - 7/15/23. (the compensation is only reflecting 1 day worked)  So only the number of hours for one day will report on the SERS Per Pay Report.

But SERS days can pull from the prior year compensation calendar if there is no calendar stop date on the FY23 Compensation.  So in this scenario - the SERS Per Pay Report will calculate 10 days but only 8 hours.  This would cause you to have to enter adjustment hours in Core/Adjustment, or change the hours on the Submission file.

If your Compensation Start Date is set to be included in the pay period dates for the first pay on the contract, and the correct number of Service Credit Days will be counted from the employee's calendar on the FY24 Compensation,  then this isn't  an issue.

But if you want to prevent an issue where too many days could be reported on the SERS Per Pay Report, entering a Calendar Stop Date that reflects the end of the days that should be counted on the Previous Fiscal Year Compensation, would be a good practice.   Example: last day to be reported for FY23 6/30/23 (or for 9 month employees 6/10/23)   you could make all calendar stop dates for these compensation 6/30/23.

The calendar stop date can be mass changed.  The mass change script is attached.
