Marsha sent this to the payroll staff a few minutes ago. We talked about the amount of missing staff that districts are having.
To simplify the process we are not going to have the Payroll staff make updates to any of the records for staff the separated over the summer or at the end of last year that did not get reported with a separation date and reason and have not worked at all this year. It will be much easier for us to throw them in the FFE, export them out and put them in the DC where the file can stay for the year. Payroll staff will not need to remember to mark them no to EMIS at yearend.
Now that being said, if they are coming in with Missing Data and the staff member is still employed then the payroll staff needs to check with Fiscal to see what the issue might be.
I am suggesting that you take the missing report and add 4 columns
1. Separation Date
2. Separation Reason
3. Local Contract Code- Job number
4. Position code.
Send that to the payroll staff to update and send back to you. Then we will put them in the FFE, export out and load into the DC. If you do not think you have an FFE log in let me know and I will get one created.
If the separation date is AFTER your last day of school in the previous school year you will enter in a CL record
If the separation date is ON of BEFORE you last day of school in the previous school year you will use the CP record.

Karen and I just had a great conversation how we can save Payroll Staff and EMIS staff time when you have a missing staff employee WHO IS NO LONGER WITH THE DISTRICT.
If you receive a missing staff report from your EMIS Coordinator here are the new steps:
Create a spreadsheet with the following information:
1. Employee Name
2. Job Number
3. Position Code
4. Separation Date
5. Separation Reason
Send the spreadsheet to your EMIS Coordinator. Have them contact Karen. She will advise how this information will be added to the Flat File Editor.
Please do not unarchive the Compensation.
