[Mail_treas] Electronic Records and Inventory Tracking

Good morning Treasurers,

If either of the below situations apply to your District, can you please respond with any/all information on how you handle them?


1.      Does your District keep financial/student records in electronic format? If so,

a.      What records do you keep electronic?

b.      Did you contract to have these records scanned or do you do it yourself?

c.      How has this worked for you? (positive experience or negative and why)

d.      Do you keep all of the scanned documentation on your server? Or do you convert to CD's (or other medium) each year and maintain those by year?

e.      How do you handle backing up this data to ensure it does not get destroyed?



2.      We are looking for a better way to track low dollar property of the District. Does your District use a method or system other than EIS for tracking of assets/inventory items that fall below your capital asset threshold? (items not reported in your annual financial report) If so,

a.      What method or system do you use? Cost per year of any software involved?

b.      Does the system provide better/worse tracking of these smaller items?

c.      What features does the system offer that provides for better tracking of these items?

Any insight into these matters is much appreciated. Thank you all for your help with this!
