[Mveca_usps] NEWCNT purge and EMIS 15L reporting instructions

Good morning!



This is an important message!  Please read!  Action is required for every MVECA district.



The 15L manifest is expected to be extended and there will be a new manifest for the yearend staff reporting when the current manifest does, finally, close.  This will extend the reporting period well into the new fiscal year.  You want to capture your staff demographic, employment, and contractor data BEFORE purging any new contracts for the new contract year!  So, GUESS WHAT, you have to run USPEMS/USPEMX to get a file that can be uploaded to the data collector.  You do not want to do a SIF collection with the new contract info.  Below are specific instructions for creating the needed file.  THIS MUST BE DONE PRIOR TO PURGING NEW CONTACTS!





STAFF EMIS 15L Reporting Update

June, 2015



Before purging any new contracts for July, 2015



1.        Add Long Term Illness (LTI) and Highly Qualified Professional Development (HQPD) in USPS.

2.       Run USPEMS to create the needed FY15 flat files for staff data submissions

a.       Creates USPEMX.SEQ

                                                               i.      CI- Staff Demographic (bio) records

                                                             ii.      CK- Staff Employment (job) records

b.       Creates USPEMS_EMISR.SEQ only if the following record types exist

                                                               i.      CC- Contract Only records

                                                             ii.      CJ- Contractor Staff Employment records

3.       Transfer the output files from the oecn$dta directory to your local drive for archiving

Transfer them from that directory to a local directory.   Host file names= oecn$dta:USPEMX.SEQ and oecn$dta:USPEMX_EMISR.SEQ][cid:image012.jpg at 01D0A820.BE83E880]

4.       Send email to helpfiscal at mveca.org<mailto:helpfiscal at mveca.org> to let us know that the USPEMX files are available.  We will transfer the file(s) to the Other Data Source in the Data Collector.

5.       Once steps 1-4 are completed, do not do a SIF collection for 15L.  Be sure to communicate that to your EMIS Coordinator if they will be doing the collection!



If updates are needed for any staff member already included in the USPEMX file:

(You will need a user account for the Flat File Editor and the Data Collector.  Contact MVECA, if needed)

1.       Reply to the Cherwell email requesting to have your file uploaded to the Flat File Editor (FFE).  Changes must be made in the FFE.     Once changes are complete, export the file making certain to select FY15 and reporting period "L".  Save the export file to a local drive.

2.       Upload that exported file to the data collector/Other Data Sources.

3.       Process the 15L collection request. Do not select the option for a SIF collections.  Submit updated data to ODE.



Send email to HELPFISCAL at MVECA.ORG<mailto:HELPFISCAL at MVECA.ORG> if you need to ADD staff to your 15L staff file.
